How to assign or reassign a Hublead license to the correct HubSpot user

If you are unable to use Hublead features, such as syncing contacts to HubSpot, and see a message saying you do not have a seat, it usually means your Hublead subscription is active but the available license is assigned to another user. To resolve this, you can either reassign the existing seat to your user or increase the number of seats in your subscription.

Description and steps to resolve the issue

To use Hublead features, your HubSpot user must have an active Hublead license assigned.

Having an active Hublead subscription does not automatically mean every HubSpot user has access. Each user who wants to use Hublead needs a seat assigned to them.

If you see a message saying that you do not have a seat, this usually happens because all available seats in your subscription are already assigned to other users.

For example, if your subscription includes one active license and that license is currently assigned to another HubSpot user, you will not be able to use Hublead sync features until a seat is assigned to your user.

You have two options to resolve this. However, both require Admin role inside Hublead:

Option 1: Reassign an existing license to your user

Use this option if the user who currently has the seat no longer needs Hublead access.

  1. Go to Hublead.
  2. Open the HubSpot Users tab.
  3. Find the user who currently has the seat assigned.
  4. Disable the Seat toggle for that user.
  5. Find your own user.
  6. Enable the Seat toggle for your user.

Once the seat is assigned to your user, you should be able to use Hublead features such as syncing contacts to HubSpot.

Option 2: Increase the number of licenses/seats

Use this option if multiple users need to use Hublead at the same time.

  1. Go to app.hublead.io.
  2. Open Settings.
  3. Go to Plans.
  4. Click Manage Subscription.
  5. In the Stripe portal, increase the number of licenses/seats.
  6. Confirm the change in Stripe.

After the upgrade is completed, the additional license should become available immediately. You can then assign the new seat to the user who needs access from the HubSpot Users tab in Hublead.

Important note

If all seats are already in use, you must either remove a seat from another user or purchase an additional seat before assigning access to a new user.
